## Introduction

Many customers have either multiple locations or multiple project management teams that are responsible for different languages. As a result, projects that contain different language combinations are split across several teams. When the module **Multi-team projects** is activated, multiple project management teams can work on the same project, independently of each other. The module can be activated under **Admin → Rights → Modules**.

A project can then be categorized as a **Multi-team project** in Plunet. Each team can define and manage their own workflow for their assigned language combinations. The team only sees the relevant items in the order, job, Dashboard and queries.

> ℹ️ **NOTE**
> ℹ️
> ℹ️ In contrast to when jobs are assigned to different company codes, all revenue and expenses can be calculated in a single order, which means that you can create reports on the gross profit. If jobs are assigned to different company codes, the expenses will be in the subsequent orders of the respective company codes, while the revenue is in the original order.

## Admin settings

*Admin → Rights → Modules*

*Admin → Rights → Resources (internal)*

When the module **Multi-team projects** is activated, a message appears informing the user that the module **Item/Default contact person for jobs** also needs to be activated.

When this module is activated, internal resources can be given the right **Manage multi-team-projects**.

Users with the right **Manage multi-team projects** can see and edit all project areas according to their rights. All project items can be edited. Users without this right only see multi-team projects in which they are set as the **Item supervisor** or **Default contact person for jobs** in the project team.

These users can only see their own items (in read-only mode) and manage the corresponding jobs.

## Selecting the project team

*Quotes/Orders → Quote/Order details → General*

*Quotes/Orders → Quote/Order template → General*

In quotes and orders and in quote/order templates, there is a option called **Multi-team project** in the **General** area. This option can be activated by users with the right **Manage multi-team projects**, otherwise it is displayed in read-only mode.

In templates with this option active, the **Project team** area is displayed and team members can be added. Only internal resources with the resource type **Supervisor**, **Project manager** or **Team member **can be selected as team members.

The setting from the template is transferred to the corresponding quotes/orders.

### Items

The project team includes the role of the **Supervisor**, **Project manager **and **Team member**. A **Default contact person for jobs** can also be selected for each item. In addition, there is the role of the **Item supervisor** at item level. If certain teams are responsible for certain languages, the individual language combinations (items) are usually assigned to the respective team leader first. This person decides which of their project managers will be in charge of managing the project and jobs. However, the team leader would still like to monitor the work done by the project managers and intervene where necessary. The role **Item supervisor** can be assigned to this person. Only internal resources with the resource type **Supervisor**, **Project manager **or **Team member **can be selected as the** Item supervisor**.

It is also possible to select multiple item supervisors per item. The resources who are selected here are also added as team members under** Project team**. If the resource has a **Default project role** such as project manager or assistant (can be assigned in the resource profile under **Communication settings**), this role will be displayed here too.

You can also set item supervisors in quote and order templates. When a quote or order is created using this template and the multi-team project function is activated, then all of the item supervisors in the template will be added to the project team in the quote/order.

### Jobs

The following job contact persons can be selected for the jobs in the job template:

- **Project manager** of the quote/order template
- Item supervisor for the corresponding item. This user can edit the field **Default contact person for jobs** in their items.
- **Default contact person for jobs** for the corresponding item

In the job list, you can select a contact person for one or all items. If you want to set a contact person for an individual item, you can only select resources that are set as either the **Item supervisor** or **Default contact person for jobs**. If you want to set the same contact person for all items, you can only select resources that are set as the **Item supervisor** or **Default contact person for jobs** in all items.

## Delivering the project to the customer

The order is delivered to the end customer:

- When an individual language combination has been delivered
- When all language combinations of one team have been delivered OR
- When all language combinations of all teams have been delivered.

The creator of the project/head project manager and the individual teams are informed about what they have to do by e-mail.

## Documents

The flags [ItemSupervisor] and [ItemDefaultContactJobs] can be used in all documents with item flags. The new flags need to be placed between [ItemBegin] and [ItemEnd].

## Dashboard and reporting

*Dashboard*

*Orders → Status report - Orders/Jobs*

There is a filter for the **Item supervisor** in the **Orders** and **Jobs** tables on the Dashboard, in the job list and status reports for orders and jobs. **Item supervisor** is also available as a filter in the status reports for orders and jobs.

> ℹ️ **NOTE**
> ℹ️
> ℹ️ Resources that were item supervisors in the past and now have a different user type (External) are also displayed in these reports. Plunet takes into account the previous status of these resources, which means that you can select any resources in the **Item supervisor** filter that has ever been an item supervisor in an order.
